Creating an MDF/PMF Document Repository

  1. From the SmartSolve Portal Page, click the Home tab at the top of the window.
  2. In the Document Management section of the list, select File Repository Template and Configuration.
    Result: A list of the available templates is displayed.
  3. Click the name of the template.
    Result: The template is displayed.
  4. Click Create Repository.
  5. Zoom to select the Product for the repository.
    Result: If a default template was used, the Repository Name defaults based on the regulatory agency and the product, such as MDF Repository-Part04-EU. If any other template was used, enter a Repository Name.
  6. Click Submit.
    Result: A dialog box stating that the document repository has been saved is displayed. The repository is now in Inworks status.
  7. Click OK.

NOTE: At this point, changes can still be made to the folder structure and repository sections, but those changes will only apply to this repository. For information on configuring the sections, see search columns, sort order, export options and distribution.

  1. The following actions are used to manage the folders in the repository tree:
Action Instruction

Add a New Folder

Click the folder in the tree under which you want to add a sub folder. Click the icon.
Result: A new sub folder is displayed under the selected folder. Click the new sub folder to rename it.

Copy a Folder

Copying a folder saves time when building your folders. For example, once you edit the first folder and set up the search and sort parameters, click the icon to copy the folder. The search and sort parameters will be copied to the new folder. Click the name of the new folder to rename it.

Rename a Folder

Click the name of the folder that you want to rename and then click it again so it can be edited. Enter the new name.

Move a Folder

Move folders by dragging and then dropping them in their new locations.

Delete a Folder

Highlight the folder to be removed and then click the icon.

  1. Click the Publish button. Repositories will not display under the Document Repository tab until they are published.
  2. Enter your user ID and password and then click the Ok button.
    Result: The repository is published and documents can now be added to it. Access the repository from the Portal Page > Document Repository tab. Click the Repository Name drop down arrow and select your repository.
